In the Exploration and Production division of a multi-national in the oil & gas sector, a collaborative venture started out as a simple public folder in Outlook. This enabled experts to contribute answers in response to questions posed and was particularly popular with drilling engineers and other technicians.

To gain access users had to be directly connected to the corporate Network. As more and more engineers started to connect to the organisation’s internal network via the Internet they found this shared folder was not available to them via this route.

The need to demonstrate due process in the determination of risk has long been demanded of organisations by stakeholders.

One such organisation perceived itself to be judged on its ability to deliver on its commitment; to deliver the financial results it set itself and to hold to its policy framework. Those commitments were made at the highest levels of the organisation and were seen as key to maintaining share-holder value.

“Assurance is the outcome of successful management and is derived from having justified confidence in delivery."

Responsibility for the delivery was being devolved down the organisation to operational managers within accountable business units.

Some organisations are driven from a central headquarters and are dominated by corporately imposed standards. Others thrive on autonomous business units each with their own internal standards. Both approaches have their merits, but there are clear advantages to be gained by ensuring that everyone can communicate with each other efficiently and effectively.

The Knowledge Manager in one organisation realised he had an uphill struggle ahead of him, when he found that there wasn’t even a single corporate telephone directory. An initial survey revealed that there were 8 separate email systems within the corporation. Each of these separate systems had their own domains and directories based on a wide range of differing technologies.
